Terms And Conditions
1. The Contract
Nepal Adventure Guide Pvt. Ltd. (hereinafter referred to as "the Company") is a legally registered and reputable organization operating under the laws of Nepal and the Tourism Industry, with registration number 350548/081/082. The Company is headquartered in Balaju, Kathmandu, Nepal. The terms and conditions set forth herein establish a legally binding agreement between the Company and you, the client (hereinafter referred to as "the Client").
By booking a tour, trek, or any other service with the Company, the Client acknowledges and agrees to abide by these Terms and Conditions. Itineraries provided by the Company serve as general guidelines and do not constitute a legally binding contract. The Company reserves the right to modify itineraries due to unforeseen circumstances such as adverse weather conditions, flight cancellations, illness, government restrictions, or other extraordinary events. In such cases, no refunds shall be issued for the modifications made.
2. Booking a Trip
To confirm a booking, the Client must make a non-refundable deposit of at least 20% of the total package cost. This deposit guarantees the reservation of services, including accommodations, flights, and other necessary arrangements. The Client must provide personal details as per their passport, including full name, surname, gender, nationality, date of birth, passport issuance/expiry dates, and profession.
Upon receiving the deposit, the Company will issue a confirmation invoice via email. The Client must also submit a scanned copy of their passport to the Company's official email address.
3. Payment Methods
The remaining balance must be settled upon the Client's arrival at the Nepal Adventure Guide office. Payments can be made using the following methods:
a. Credit Card (MasterCard or Visa Only)
If the Client chooses to pay via credit card, a surcharge of 4% and a 13% local transaction fee will apply. In certain cases, the Company may require full payment at least one week before arrival. For last-minute bookings, the total trip cost must be paid in full in advance.
b. Wire/Bank Transfers

The Client can send payments using the "pickup at location" option with the following details:

- Payments must be sent in NPR (Nepali Rupees), and the exchange rate will be applied to determine the equivalent amount in USD.
4. Accommodation
All accommodation provided during the tour or trek will be on a twin-sharing basis. Clients requesting a single room will be subject to an additional charge.
5. Cancellation and Refund Policy
The Company does not provide refunds if the Client cancels the tour or trek after the trip has commenced. If the Client chooses to leave the itinerary early or return before completion, they will be responsible for any additional expenses incurred, including accommodation and transportation costs.
No refunds shall be issued if the Client voluntarily quits the trip for any reason.
6. Cancellation of a Trip by the Company
The Company reserves the right to cancel a trip due to unforeseen circumstances such as flight disruptions, strikes, government restrictions, severe weather conditions, or natural disasters. In such cases, the Company will propose alternative arrangements, subject to mutual agreement between both parties. If an agreement cannot be reached, the Company will process a refund after deducting incurred expenses.
If a Client fails to appear on the scheduled date without prior notice, the booking will be considered canceled after 48 hours, and no refund will be issued.
Trips will only be canceled under extreme circumstances, including major political unrest or war. If a trip is canceled under such conditions, the Company will refund the initial deposit, excluding any additional expenses the Client has incurred, such as insurance, visas, vaccinations, and other incidental costs.
7. Trip Cost
All trip costs are quoted in USD ($). The Company reserves the right to adjust prices due to fluctuations in exchange rates, increased operational costs, or other unforeseen economic conditions. Any minor cost variations will be absorbed by the Company.
Clients must abide by Nepalese laws and regulations during their stay. Any illegal activities may result in expulsion from the trip without a refund, and legal action may be taken if necessary.
The Company strives to provide the best experience possible but acknowledges that certain services and facilities may not meet the standards to which some Clients are accustomed.
8. Travel Insurance
The Company strongly advises Clients to obtain comprehensive travel insurance covering accidents, injuries, medical emergencies, evacuations, helicopter rescues, air ambulance services, and personal liability. Clients must submit proof of insurance before the trip begins. The Company shall not be held responsible for any costs incurred due to the Client’s failure to secure adequate insurance coverage.
9. Visa and Passport Requirements
Clients must carry a valid passport with at least one blank page for visas. Nepal visas can be obtained upon arrival at Tribhuvan International Airport. The visa fees are as follows:
- USD $25 for 15 days
- USD $40 for 30 days
- USD $100 for 90 days
For travel to Tibet and Bhutan, Clients must request the Company to arrange visas in advance. Clients should carry cash to pay for visas upon arrival.
10. Flight Delays and Additional Costs
Flights to and from remote regions, such as Lukla, are subject to weather disruptions. If a flight is delayed or canceled, the Company will arrange alternatives, including helicopter charters, at an additional cost ranging from USD $150 to USD $500, depending on the number of passengers.
If the Client voluntarily returns from a trek earlier than scheduled, they will bear all additional accommodation and meal costs. Clients should carry an emergency fund of USD $300 to USD $500 for unexpected expenses.
